PREPARATORY POLICIES
Academic Policies
The Peabody Preparatory of The Johns Hopkins University reserves the right to withdraw any course listed due to insufficient enrollment. Unless registered students are notified prior to the beginning of the semester, every class listed in the catalog will meet one time before cancellation.
Students demonstrating substandard work, inadequate preparation, lack of motivation, incomplete homework, poor attendance, or lack of practice may be placed on academic probation. If a student on academic probation fails to show significant improvement, the student may be expelled. In this case, the family forfeits all monies paid to the Preparatory for that semester.
The Preparatory reserves the right to dismiss any student without being placed on probation due to lack of interest or progress, frequent absence (more than three), frequent tardiness, behavioral problems, delinquency in payment of fees, and/or failure to abide by school policies.
Class attendance is mandatory. Regular attendance in classes and lessons is essential for student progress. Students should notify their teacher(s) of absence by contacting them directly at least 24 hours in advance. For last minute emergencies, during office hours contact the appropriate Preparatory office to see if a message can be placed in the teacher’s mailbox. Instructors are not available to come to the phone and staff will not interrupt a lesson or class to deliver a message. Placement in individual instruction is dependent on teacher availability and, therefore, cannot be guaranteed. Continuing students who fail to meet the deadline established for returning students will forfeit the right to his or her preexisting lesson time. It is the student’s responsibility to be aware of and comply with all registration deadlines.
Hour-long classes are computed on a 55-minute hour to allow time for class movement. Classes begin on the hour or half-hour and are dismissed five minutes before the hour or half-hour. The Preparatory is responsible for students during scheduled class or lesson times only. The Preparatory is not responsible for escorting students to classes or lessons or supervising students before or after classes or lessons. Lessons/classes provided as part of the Preparatory tuition cannot occur in the home of the faculty member or at any other off-campus location.
Faculty members may not be paid directly for instruction. A parent or a student is to notify the Students Services Coordinator in a timely manner when instructional or personal problems arise. Every effort will be made to respond to individual needs. Instructor changes are to be made in consultation with and approved by the Student Services Coordinator. Students/parents must contact the Student Affairs Coordinator when these changes seem warranted and should not seek out other faculty on their own.
Parents choosing to drop off and pick up their children rather than escorting them into the building for classes or lessons should watch until the student is securely in the building.
Participation in an elective class/lesson sponsored by the Peabody Preparatory of the Johns Hopkins University at Peabody locations or Peabody sponsored activities, may require extensive and rigorous physical exertion and activity and there are a wide variety of risks that could result in serious injury or death. Peabody requires students to be covered throughout the program by a policy of comprehensive health and accident insurance, which provides coverage for illnesses or injuries that may be sustained as a result of participation in a Preparatory class/lesson. Students assume all risks associated with participation in a Preparatory class/lesson and release the Peabody Institute and The Johns Hopkins University and their representatives, agents, faculty, and employees from any responsibility and liability for injuries, illness, medical bills, charges, or other expenses incurred through participation in the program, except if the danger or losses are caused by the gross negligence or willful misconduct of the agents or employees of the Peabody Institute.
Student Policies
Students are required to have their own practice instrument and practice location off campus.
Students enrolling for individual lessons cannot be currently studying the same instrument at another institution or with a private teacher without the approval of the Dean.
Students enrolled at the Preparatory or referred to a faculty member by the Preparatory may not be accepted by that faculty member for purposes of instruction outside of the Preparatory. This agreement shall remain in effect for the period of one year from the time of withdrawal from the Preparatory by the student or faculty member.
Students enrolled at the Preparatory are only to be instructed for the classes and lesson lengths for which they are registered with the Preparatory.
Students may not ask for or accept transportation from faculty members.
Students are responsible for maintaining quiet speaking tones while on campus to prevent disturbing other classes/lessons. Running is not permitted on the campuses.
No food or drink is permitted in any studio or classroom. Drinks and food may not be placed on pianos. A $50 fine will be assessed to anyone found with food or drink on a Peabody Institute piano. Student Accounts Policies
Responsible billing parties acknowledge that the obligation to pay all expenses incurred by the student is unconditional. No portion of such tuition, expenses, or charges, paid or outstanding, will be refunded or reversed regardless of absence, dismissal, or withdrawal of the student.
The Preparatory does not accept responsibility for lost or undeliverable mail. Notices, catalogs, registration information, etc., are available online at www.peabody.jhu.edu/prep.
Credit card (VISA and MasterCard), check or cash are acceptable forms of payment. If your check is returned due to insufficient funds or your credit card is declined, your account will be removed from a good standing status, a $30 returned check/declined credit card fee will be placed on your account, and you may be removed from courses for which you are currently registered. You will be prevented from registering for future classes until payment is reconciled.
The Preparatory reserves the right to adjust a student’s TuitionPay monthly payment plan contract to ensure the contracted amount covers the total charge owed to the Preparatory.
The JHU tuition remission benefit plan can be used as a form of payment. Fees are not covered under this benefit plan. Remission vouchers must be submitted to the Registrar’s office along with the tuition remission application. Forms are located at the JHU Benefits website at http://training.jhu.edu and can be mailed, faxed (410-659-8281) or delivered in person. If the remission does not cover the entire cost of tuition, you are required to pay the remaining balance at the time of registration.
Tuition refunds will be issued if a class is canceled or if an appropriate placement is not possible.
A refund payment is made in accordance to the method of payment received. This process may take four to six weeks. Should you have questions concerning your refund, please contact the Preparatory Registrar at 410-659-8100 ext. 4000.
Add/Drop a Course
To add a course, students are required to submit an official Add/Drop Form. If adding a course after the deadline to elect a payment plan, full payment for the added course must accompany the Add/Drop Form. Johns Hopkins employees must submit a tuition remission voucher and an Add/Drop Form with each added course.
To drop a course, students are required to submit an official Add/Drop Form. Students may drop a course without financial penalty up to the date of the first class. Tuition refunds are calculated from the date the Add/Drop Form is received in the Registration Office. (See Refund Schedule). Students may not drop/withdraw from courses using the online system.
Students wishing to withdraw from a lesson/class must submit a written request to the Administrative Manager. The date of withdrawal will be the date on which the Administrative Manager is notified in writing. Verbal notice or requests from students, parents, or faculty will not be accepted.
Refunds
Refunds apply only to the tuition portion of a student’s charges and are determined by the date that the school receives an official add/drop form along with the information listed under the refund schedule. Refunds are not applicable to registration and other non-tuition fees.
Tuition refunds will be issued if placement can not be made or if a course is canceled by the school. The tuition is refunded in full and the registration fee is refunded if that course/lesson is the only course for which the student registered.
Refund Schedule
Requests postmarked prior to the first lesson/class receive 100% tuition refund (less registration fee and materials fee where applicable).
Requests postmarked prior to the second lesson/class receive 75% tuition refund (less registration fee and materials fee where applicable).
Requests postmarked prior to the third lesson/class receive 50% tuition refund (less registration fee and materials fee where applicable).
No refunds after the third fall/spring lesson/class.
Credit balances resulting from overpayment on a student account will be refunded by request only. For further information on the availability of your refund check, you may call 410-659-8100 ext. 4000.
A parent or a student is responsible for notifying the Preparatory Registrar’s Office with changes in billing and account information (name change, mailing address, phone number, e-mail address, etc.) or if materials do not arrive. Students are responsible for meeting all published deadlines regardless of any inefficiency of mail delivery.
Inclement Weather Policy
The Preparatory does not follow the school closing decisions of any one school system. Decisions concerning weather related changes and/or closings will be made for each campus by 1:00 pm weekdays and by 7:00 am on Saturdays and will be announced in the following ways:

The Peabody Preparatory and Johns Hopkins University Policies

The Peabody Preparatory of The Johns Hopkins University reserves the right from time to time to take photographs or video of faculty, staff, and students engaged in teaching, rehearsals, and performances and other activities at the Preparatory for use in Peabody publications such as catalogs, concert calendars, posters, fliers, media advertising, admissions recruitment, and development brochures, as well as on the Peabody web site or for distribution to state or national media for promotional purposes. Classes and private lessons will only be photographed with the permission of the faculty member; performances and rehearsals will only be photographed with the permission of the conductor or director in charge of the event. Such photographs will be retained in the Peabody files and archives and may be used by Peabody without limitations or restrictions as to time. Faculty, students and staff who do not wish their photographs be used in this manner should contact the Preparatory Office. Peabody has no control over the use of photographs or film taken by the news media covering Peabody events.
Video taping of Preparatory performances is permitted for personal use only. Video taping should be done from the balcony of the Friedberg Concert Hall and Goodwin Recital Hall and from the back of the hall in all other performance spaces.
All audiovisual equipment and instruments in the studios are limited to use by faculty and accompanists. Smoking is not permitted in any building and is only permitted in designated smoking areas.
Notice is hereby given that The Peabody Preparatory of The Johns Hopkins University is prepared to comply with the provisions of the Family Educational Rights to Privacy Act of 1974 (P. L. 93-380) as ended (P. L. 93-568) and any regulations which may be promulgated there under. Students and others who wish specific information regarding their rights of access to institutional education records maintained in their names are advised to contact the Administrative Manager.
Sexual harassment is inimical to an appropriate working and learning environment and will not be tolerated. Sexual favors may not be required either explicitly or implicitly as a term or condition of an individual’s academic or work performance. Such behavior which creates an intimidating, hostile, or offensive learning or working environment is prohibited. The University will promptly investigate complaints of sexual harassment and, when necessary, institute disciplinary proceedings against the offending individual. Complaints of sexual harassment may be brought to the heads of departments, the deans or directors of a division, or the University’s Affirmative Action Officer. Complainants are assured that problems of this nature will be treated in a confidential manner.
Maryland State Law prohibits the possession or consumption of alcoholic beverages by persons under the age of 21. Students are expected to obey the law. Individuals who violate this law, in addition to being subject to criminal penalties, may be subject to University disciplinary measures. The University will not excuse acts of misconduct committed by students whose judgment is impaired due to alcohol or drug abuse.
Persons who violate or attempt to violate these regulations will be asked to leave the event and may be subject to disciplinary action. In addition, a sponsoring group may be subject to University disciplinary action and/or criminal prosecution if underage patrons are served alcoholic beverages.
The distribution, possession, and un-prescribed use of narcotics and other controlled substances by students are unlawful and strictly forbidden on Institute and University premises. When information reaches the school indicating that a student has been engaged in the distribution of controlled dangerous substances, disciplinary proceedings, which may lead to expulsion or suspension, will be commenced immediately. Students are also advised that the Institute may decline to furnish and may withdraw letters of recommendation for those who have engaged in the illegal distribution, possession, and use of controlled dangerous substances.
The possession or use of firearms and/or air guns is strictly forbidden on Institute premises and may result in the suspension or expulsion of the student.
Criminal activity by a student or accompanying family member, while under Peabody jurisdiction, is grounds for immediate and unconditional expulsion and forfeiture of tuition and fees.
The Peabody Institute of The Johns Hopkins University of necessity reserves the freedom to change any programs, policies, requirements or regulations published in the Preparatory Music Student Handbook, on the website, and in all catalogs. Campus Security Act Notice
In accordance with the Crime Awareness and Campus Security Act of 1990 (P. L. 102-26), the University issues its Annual Security Report, which describes the security services at each of the University’s divisions and reports crime statistics for each of the campuses.
